The Job
We are seeking a proactive and versatile Operations & Business Support Specialist to join our team in a central support role that touches almost every part of the business — from marketing and sales to project delivery and client work, including directly supporting our CEO and CTO.
This is not a siloed role. You'll shift contexts frequently, move from high-level coordination to detailed execution, and work closely with the leadership team while also being trusted to run things independently. You'll be expected to work in an AI-enabled way as a matter of course — using AI tools and working closely with our AI-enabled tech team to get things done faster and smarter, and bringing a process-oriented, detail-driven mindset to everything you do.

Responsibilities include:

Internal coordination: Manage day-to-day administrative support across the business — leveraging AI tools to work efficiently and at scale

Leadership support: Work closely with our CEO and CTO, helping them stay on top of priorities, actions, and decisions

Project delivery: Drive projects and recurring tasks across the business from start to finish, always looking for ways to do things better along the way

Marketing support: Assist with marketing activities including content, campaigns, and coordination — helping the team show up consistently and professionally

Client & business development support: Assist with research, coordination, outreach, and client-facing activities to support the growth of the business

Process improvement: Identify inefficient or repetitive tasks, take ownership of running them, and work with our tech team to improve and automate where possible

Documentation: Create and maintain AI prompts and instructions that capture organisational knowledge and make it accessible across the team

Analytical support: Help with data, analysis, and structured problem-solving to support business and product decisions as needed

Ad-hoc work: Jump into whatever is needed — this is a role where no two weeks look the same

About You

Fluent in Latvian and English (German is a strong plus)

Previous background in administration, operations, or a similar support role

A genuine interest in AI — you're either already using AI tools day-to-day or actively looking to, and you naturally spot where they could make a difference

Strong organisational, prioritisation, time management skills - you enjoy keeping things on track and running smoothly and are equally flexible to appreciate that things change day to day

Clear and professional communication skills, both written and verbal

A proactive mindset - you see what needs to be done and take initiative

Flexibility and eagerness to learn as both the role and the technology around it evolve
